Job Description
The accounts payable clerk compiles and maintains accounts payable records and assists with the full accounting cycle. The accounts payable clerk is responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the payment of goods and services.
Responsibilities and Duties
- Processes invoices into computer system.
- Opens mail daily and distributes to appropriate personnel.
- Recommends weekly vendor payments by analyzing aging reports and reviewing special vendor procedures.
- Processes check requests, ensuring all appropriate approvals have been received.
- Communicates with co-workers, management, vendors and others regarding purchases to resolve discrepancies and reconcile invoices/accounts.
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Prints and obtains signatures on all accounts payable checks.
- Distributes signed checks as required.
- Answers all vendor inquiries.
- Maintains all accounts payable reports, spreadsheets and corporate accounts payable files.
- Assists corporate financial officers and branch personnel as necessary.
- Assists in monthly closings.
- Process drop shipments by distributing vendor invoices to accounts receivable for receipt and ensuring that is done before processing invoice to vendor account for payment.
- Prepares analysis of accounts, as required.
- Performs filing and copying.
- Balance intercompany accounts as necessary.
- Check deposit via banking app or through a local branch, on an as needed basis.
